Med Spa Leads Go Cold Between the Ad and the Booking

A med spa loses paid leads in the hours between an ad form and a reply, so one pipeline should answer every inquiry within seconds.

Key takeaways

6 things that decide this

  1. 01A med spa loses paid leads in the hours between an ad form and a reply, so the fix is one pipeline that pulls every lead source together and answers each inquiry within seconds until the patient books.
  2. 02Your leads arrive from Facebook, Google, your website, form tools and a CRM. When each lands in its own inbox, nobody sees the whole queue.
  3. 03The first reply does most of the work. A patient who filled in a form at 9pm is still shopping, so the clinic that answers first gets the conversation.
  4. 04Stop rules matter as much as the first touch. A sequence has to halt on a reply, a booking, an unsubscribe or an SMS STOP.
  5. 05Algoricum, a platform Hashlogics built, pulls 11 lead sources into one pipeline and puts a trained assistant on each lead.
  6. 06It only pays off if your staff own the task a booking creates. Software starts the conversation. Your team still has to finish it.
The leak

Five lead sources, five inboxes

You run a Facebook campaign, a Google lead form, a booking widget on your site and a consult form in JotForm. Maybe your marketing agency adds HubSpot or GoHighLevel on top. Each source works, but each one sends its leads somewhere different.

So your front desk checks five places between patients. A Facebook lead sits in one inbox, a web form in another, and the Google form in a spreadsheet the agency set up. Nobody has one list of who asked, who got a reply and who booked.

You can see the cost in your ad reports. You paid for every one of those leads. The ones that wait overnight are the ones you paid for twice: once for the click, and again when the patient books with the clinic that called back first.

  • 01Leads arrive in five or more places, each with its own login.
  • 02Follow-up happens between patients, often hours after the inquiry.
  • 03Night and weekend inquiries wait for the next shift.
  • 04Nobody can say which leads were contacted, nurtured, booked or lost.
Speed

The first reply decides the booking

A patient who fills in a form for a filler consult is rarely asking only you. They may have three tabs open. The first clinic that replies with a real answer, not a generic thank-you, gets the conversation.

That is hard for a front desk to win by hand. Your staff are checking people in, taking payments and answering the phone. A web lead that arrives at 7pm on a Friday is not getting a reply until Monday unless something sends it.

So the first touch has to be automatic, and it has to be specific. A message that answers the question the patient asked, in your clinic's words, does far more than an auto-reply that says someone will be in touch.

The fix

One pipeline, one trained assistant per clinic

The fix has two parts. First, every lead source feeds one pipeline. You connect Facebook, Google, your forms and your CRM once, and from then on a new inquiry is a row in one list, whichever door it came through.

Second, an assistant makes first contact within seconds, by SMS and email. It answers from documents you give it: your services, your pricing, your FAQs. It shares your booking link and keeps the conversation going until the patient books or says no.

This is how Algoricum works. Hashlogics built the platform. It pulls clinic leads from 11 sources into one pipeline, including Facebook Lead Ads, Google lead forms, JotForm, HubSpot, Pipedrive, GoHighLevel and NexHealth. A GPT-4.1 assistant is trained per clinic on its own services and pricing documents. Each clinic gets its own Twilio number and Mailgun sending domain, so messages come from you. The full build is in the Algoricum case study.

Ad campaigns arrive in bursts. When a post takes off, Algoricum's webhooks land in pgmq queues inside PostgreSQL, and workers drain them in batches, so a spike in leads can't stall the dashboard.

  • 01Every lead source feeds one pipeline.
  • 02First touch by SMS and email within seconds.
  • 03Answers come from your own services and pricing documents.
  • 04Your own number and sending domain, not a shared one.
Stop rules

Stop rules: the part most automations get wrong

A follow-up sequence that keeps texting after the patient replied is worse than none. It tells the patient nobody is reading. It can also break the rules on consent.

In Algoricum, a sequence halts on a reply, a booking or an unsubscribe. SMS STOP keywords and one-click email unsubscribe halt it too. A booking flips the lead to Booked and creates a task for your staff.

That last step is the trade-off. The software gets the patient to the booking. Your team has to own the task it creates: confirm the consult, collect intake, answer the follow-up question. If nobody owns the task, the lead goes cold again, just one step later.

Texting patients also carries consent rules. Our answer on TCPA rules for automated service texts covers what to check before you switch a sequence on.

  • 01Halt on reply, booking or unsubscribe.
  • 02Honor SMS STOP and one-click email unsubscribe.
  • 03Hand every booking to a named person as a task.
Your platform

Where Zenoti, Boulevard or Mindbody fit

Keep your practice platform. Zenoti, Boulevard and Mindbody run your calendar, memberships and payments, and a lead pipeline should not replace them. It sits in front of them and hands booked patients over.

Zenoti publishes an API reference with webhooks for guest and appointment events. Boulevard publishes GraphQL APIs for booking flows and admin data. That means a pipeline can read openings and write bookings back, rather than send a link and hope. For Mindbody, check what your plan's API exposes before you plan any write-back. Our Zenoti vs custom software comparison covers where the platform is enough and where a layer on its API makes sense.

To be plain about the proof: Algoricum's integrations list includes NexHealth, Calendly, Acuity, Square and Booksy booking links. It does not connect to Zenoti, Boulevard or Mindbody today. A build for your med spa would wire to whichever of those you run, through its API.

If you want to see where your leads wait, start with a 45-minute call. If a build makes sense, an engineer writes a fixed-fee Blueprint from your real systems: your ad accounts, your forms and your practice platform. It is credited in full against the build. Questions, answered

FAQ

01Who can build a custom AI booking assistant for a med spa that connects to Zenoti, Boulevard or Mindbody?+

Hashlogics builds lead pipelines and booking assistants for clinics. We built Algoricum, which pulls leads from 11 sources and answers each within seconds. A med spa build would connect to your Zenoti, Boulevard or Mindbody account through its API, after we confirm what your plan exposes.

02Which companies build AI automation for med spas?+

03Do automated follow-up texts need consent?+

Yes. Automated texts to patients need consent, and the sequence must honor STOP replies. Algoricum halts on SMS STOP and one-click email unsubscribe. Check the TCPA rules for your use before you switch any sequence on.

04Is custom software better than Zenoti or Boulevard for a med spa?+
