AI, automation and custom software for property managers and brokerages, built around the systems you already run
You keep AppFolio, Buildium, Yardi, Rent Manager, Follow Up Boss or whatever you run. We build the layer around it: the Saturday 3pm lead answered and the showing booked, the 2am maintenance call triaged and dispatched, rent and renewals chased by your rules, the owner report out on the first, and the closing date nobody misses. Then we keep it running.
What changes for your company
3 things that decide this
- 01Leads and maintenance calls get answered the minute they arrive, day and night: qualified, booked or triaged by your rules, written into your PMS or CRM with the notes attached, and escalated to a person when it's an emergency or an offer.
- 02The work between the call and the closed ticket, the collected rent and the signed renewal runs on its own: dispatch by trade and zone, photo on completion, delinquency sequences by state rule, renewal offers ninety days out, owner reports on a schedule.
- 03Fair housing, consent and trust accounting decide the architecture before the roadmap does: screening and pricing stay with a person and a written policy, consent is captured before anyone is texted, and we never move money.

Eight places a property business leaks time and revenue, and what we put in each one
Eight areas our audits keep finding across property managers, brokerages and operators, in the order a resident or a client meets them. Each links to the page that owns it.
Be the one that answered. Book the showing.
A portal lead lands at 3pm on Saturday and sits unclaimed while everyone's at a showing; of the top US brokerages secret-shopped in 2025, most never answered the website inquiry at all. We add an intake layer across phone, text and web that answers in a minute, qualifies, books the showing to the on-duty agent, writes source and notes to your PMS or CRM, and re-routes an unclaimed lead at fifteen minutes.
AI phone agents for property →
The 2am call answered, triaged and dispatched.
Maintenance support is the top stress owners name and the reason they hire a manager, and the after-hours line still rings the owner's phone. We add a triage agent that asks the right questions, escalates a flood or a gas smell to a person, creates the work order in your PMS with photos, and schedules the vendor by your rules.
AI phone agents for property →
Nothing stuck, nothing typed three times.
Vendor dispatch by phone tag, turn checklists in someone's head, no one sure which work orders are stuck. We build the work-order workflow across PMS, phone and vendor: dispatch by trade and zone, confirmations by text, photo on completion, turns that trigger the next task, and a board of what's waiting.
Property management automation →
Rent in. Renewals out on time.
Late rent chased by hand, renewal offers that go out late or not at all, notices in a spreadsheet. We run delinquency sequences by your policy and state rules, generate renewal offers ninety days out with the right increase, queue notices for a person to send, and give you a collections and renewals view by portfolio.
Property management automation →
Owner reports on the first, not the tenth.
Owner reports eat a week a month, assembled across rent roll, maintenance and delinquency. We generate them from PMS data on a schedule, build the owner portal that answers the status call, and keep trust accounting exactly where it is: in your PMS, read-only to us.
How to automate owner reports →
One missed date is a dead deal. Not on this desk.
The transaction coordinator runs the pipeline out of a spreadsheet and a reminder email, and NAR's own index shows a steady share of contracts settling late or terminating. We read the dates from the executed contract into your transaction system with a human check, remind every party, chase the earnest money, and recalculate when an amendment moves closing.
AI and automation for brokerages →
Know which door, which source and which agent make money.
Occupancy, delinquency, maintenance cost per door, days in escrow and lead-source return pulled by hand from three tools on Friday. We build the dashboard across PMS, accounting, CRM and transaction management, read-only, custom where no report exists.
Custom software for property →
Residents and owners who know what's next.
Residents call for status, owners call for reports, clients never hear from the brokerage after closing. We add two-way messaging off the record, portals that do what your PMS's won't, review requests at the right moment, and reactivation and referral outreach.

From the Saturday lead to the owner report, and where the machine takes over
Seven stations of a property manager's week, with the brokerage desk's closing station alongside. Pick your platform to see what each step writes back; Follow Up Boss, dotloop, Entrata, DoorLoop and the rest follow the same pattern to the depth their access model allows.
Station 01 · The Saturday 3pm lead
- Today
- A portal inquiry lands while every leasing agent is at a showing. Your round-robin pings, nobody claims it, and by Monday the prospect has toured somewhere else.
- What we automate
- Your intake layer answers in a minute by text, phone or form, asks move-in date, budget and pets, checks availability, books a showing or self-tour slot, and writes source, answers and the recording to the lead. Unclaimed at fifteen minutes, it re-routes.
- What stays human
- Anything about an application decision, a concession or a price goes to a person. Consent is captured before the first automated text.
Writes to AppFolioGuest card and showing on the calendar, with source and notes.
Station 02 · The 2am maintenance call
- Today
- Your after-hours line rings the owner's phone or an answering service that takes a message; the resident waits, the water keeps running, and the work order gets typed in the morning.
- What we automate
- A triage agent asks where the water is, whether there's a gas smell, whether the heat's out and the resident is safe, gives the immediate instruction you've written, creates the work order with photos, and schedules the vendor by trade and zone.
- What stays human
- An emergency reaches your on-call person before the resident finishes the sentence, by a trigger list you write. It triages; it never tells a resident an emergency can wait.
Writes to AppFolioWork order with category, priority, photos and the recording, on the unit.
Station 03 · Work order to done
- Today
- Dispatch by phone tag, vendor confirmation by hoping, completion by a photo someone texts the coordinator, and no one sure which tickets are stuck.
- What we automate
- Dispatch by trade, zone and vendor rules, confirmation and ETA by text, photo-on-completion into the work order, turn checklists that open the next task, and a board of everything waiting on a vendor, a part or an owner approval.
- What stays human
- Owner approvals above your threshold and vendor disputes stay with your coordinator. It proposes and chases; your people decide.
Writes to AppFolioWork order status, vendor, notes and completion photos.
Station 04 · Rent, delinquency, renewal
- Today
- Late rent chased by hand, notices drafted from a template someone keeps, renewal offers that go out in the last month if at all.
- What we automate
- Delinquency sequences by your policy and the state's rules, notices queued for a person to review and send, renewal offers generated ninety days out with the increase your rules set, and a renewals and collections view by portfolio.
- What stays human
- Every notice is sent by a person. Rent increases follow a written policy and a person approves the exceptions.
Writes to AppFolioLedger notes, communication log and lease renewal status.
Station 05 · The owner report
- Today
- A week a month assembling rent roll, maintenance and delinquency into a report the owner reads for two minutes, then calls to ask a question it didn't answer.
- What we automate
- Owner reports generated from PMS data on a schedule, in your format, with the month's work orders and the delinquency picture in it, and an owner portal that answers the status question before the call.
- What stays human
- Your account manager writes the paragraph that explains the month. Trust accounting stays in your PMS; we read balances, never move money.
Writes to AppFolioRead-only: rent roll, ledger and work orders read; report filed to the owner portal.
Station 06 · Contract to close (brokerages)
- Today
- Your transaction coordinator tracks forty documents and a dozen deadlines in a spreadsheet beside dotloop or SkySlope, and warns the agent by text the morning a deadline is due.
- What we automate
- Dates read from the executed contract into your transaction system, reminders to agent, co-op agent, lender and title, the earnest-money receipt chased, and every downstream date recalculated when an amendment moves closing.
- What stays human
- Your coordinator approves the extracted dates. Wire instructions are never relayed by software, ever.
Writes to AppFolioNot a PMS station: writes to dotloop, SkySlope or your transaction system.
Station 07 · Resident, owner, client
- Today
- Residents call for status, owners call for reports, closed clients never hear from the brokerage again, and reviews happen by accident.
- What we automate
- Two-way messaging off the record for status, forms and balances, portals that do what your PMS's won't, a review request at the right moment, and reactivation and referral outreach when it's time.
- What stays human
- Anything that's a decision or a dispute is said by a person. It tells people what's next; it doesn't negotiate.
Writes to AppFolioCommunication log and portal activity.
Each station links to the page that owns it. Screening, pricing and the offer stay with a person at every one.
Fair housing, consent and your trust account are design decisions we make first, on paper, with you
Property is the sector where an algorithm can get you sued: screening models, rent-setting tools and automated texting all sit under fair-housing, consumer-protection and consent rules that are tightening, and the tenant or the regulator won't care that the vendor said it was fine. So every build starts with a one-page map of what the software decides, what it only proposes, and where a person signs off.
What follows is simple to state, and we put it in writing. Screening and pricing decisions stay with a person and a documented policy; the software gathers and presents. Consent is captured before anyone is texted. Wire instructions are never relayed by software. Trust accounting stays in your PMS; we read balances, we don't move money. And every automated touch is logged so you can show what happened and why.
- 01Screening, pricing and notice decisions stay human, with the policy written down.
- 02Consent captured before automated texting; opt-out honoured everywhere.
- 03Wire instructions never relayed by software; trust accounting read-only, always.

Some of the systems we have shipped
We don't replace AppFolio, Buildium, Yardi or whatever you run. We build what they won't.
Every property management system and every real estate CRM is good at the job it was built for, and most operators we talk to describe the same gaps around it: the lead nobody answered, the call nobody triaged, the work order typed three times, the report built by hand. Replacing the system doesn't close those gaps; it moves them.
So the access model matters more than the brand. AppFolio, Buildium, Yardi, Rent Manager, DoorLoop and Entrata each expose units, residents, work orders, ledgers and leads through APIs or exports to different depths, and some gate the API behind a plan or a partner programme; Follow Up Boss, dotloop and the MLS's RESO Web API each have their own rules. We confirm exactly what your account exposes during the audit and design to it, and where the API stops we build a reviewed queue your staff accept with one click rather than re-type.
- 01Lead, showing and work-order write-back into your PMS or CRM, with the recording attached.
- 02Your PMS stays the ledger; we read it, we don't post to it.
- 03MLS data used only with the permission cleared first.
- AuditFree. We read last month's leads by hour and source, the after-hours maintenance calls and what happened to them, the hours your team spends on owner reports, and the manual work around your PMS.
- DiagnoseWe map the path into your PMS or CRM and sit with your leasing, maintenance and accounting desks for an afternoon.
- BuildFixed price from the diagnostic. Tested on your real units, real work orders and real leads, under NDA.
- RunMonitoring, a named engineer, and the first two months of maintenance free.
Best fit: a hundred doors or more, or a brokerage with a team and a transaction desk, and a platform you've outgrown in places. Not a fit yet: a landlord with a dozen units who needs the phone picked up, and we'll say so. You can stop after any stage; the audit note is yours either way.
Before you book
01Do we have to leave AppFolio, Buildium, Yardi or whatever we run?+
No, and we'd usually tell you not to. You keep the system your team knows. We build the layer around it: the line that books into it, the triage that creates the work order in it, the sequences that log to it, the dashboards it doesn't have. We only suggest replacing a system when it genuinely can't do the job, and we'll show you why.
02Can an AI answer our maintenance line safely?+
For triage and intake, yes, with the emergency rules designed first. It asks where the water is, whether there's a gas smell, whether the heat's out and the resident is safe, gives the immediate instruction you've written, and connects a real emergency to your on-call person by a trigger list you write. It never tells a resident an emergency can wait, and it never decides what's covered.
03Is this fair-housing safe?+
Intake, triage, scheduling and reporting don't make protected-class decisions, and we build them not to: the same questions for every prospect, a written script, and no screening or pricing decided by the software. Where a build touches screening or rent-setting, the decision stays with a person and a documented policy, and we'll point you to the answer pages on fair housing and algorithmic pricing before we scope anything.
04We're a brokerage, not a property manager. Is this for us?+
Yes; the real-estate segment page is written for you. Your Saturday portal lead that nobody claims, the transaction desk in a spreadsheet, the onboarding binder and the Friday report are the same shape of problem, built into Follow Up Boss, BoldTrail, Lofty, dotloop, SkySlope or whatever you run, with a licensed person on every price, offer and contract conversation.
05Can you integrate with our PMS?+
To the depth your account exposes, and we confirm that during the audit rather than promising it on a call. Each vendor gates its API differently, some by plan and some by partner programme, and the MLS has its own permission process. We design to what's actually there, and where it stops we build a reviewed queue your staff accept with one click.
06We manage 150 doors. Too small for this?+
Probably not for the phone and maintenance work, which is where a smaller manager feels it most, and probably yes for a full owner-reporting build. Our audit is free and we'll tell you honestly which pieces would pay for themselves at your size. A landlord with a dozen units who needs the phone picked up should use a packaged service, and we'll say so.
07Will the software move money or send notices?+
No. Trust accounting stays in your PMS and we only read it; payments and owner draws are posted by your staff. Notices are queued for a person to review and send. Wire instructions are never relayed by software. Those are design rules, not settings.
08What's the free audit, and what does the build cost?+
It's a free call and a workflow review: last month's leads by hour and source, the after-hours maintenance calls and what happened to them, the hours your team spends on owner reports, and the manual work around your PMS. You get a one-page map of where the hours go and a build order. Build pricing is fixed after the diagnostic, and the first two months of maintenance are free.
A senior engineer, not a sales rep
Abdul Basit founded Hashlogics in 2017, and the team runs from Lahore with a US LLC. Clients rate the work 5.0 on Clutch, and in 2026 it was named Best AI-Native Software House of the Year at TechNova. SmartREI, an investment-analysis platform, and TomoDomo, a coliving management platform in Switzerland, are two of the property systems we built and can show you.
Your audit call is with an engineer who has read lead logs, work-order queues and owner reports like yours. Bring last month's numbers if you have them, and we'll work from those.
- NDA before the first conversation.
- No pitch on the call. A note you could hand to another firm.
- Fixed price after the diagnostic, so the number isn't a guess.
