A product we built and run · AI receptionist for inbound calls
Overview

GreetKeeper is an AI phone receptionist that Hashlogics built and runs as a live product at greetkeeper.com. It answers every inbound call, books into Google or Microsoft calendars, and transfers to your team when a caller needs a person. If your business depends on the phone, you lose work when calls arrive after hours or while staff are with a customer. Voicemail only records that someone called.

The challenge

The problem we set out to solve.

01

Calls arrive after hours, during busy seasons, and while your staff are already helping someone else.

02

Voicemail records that someone called, but it can't book the appointment or route the caller.

03

Urgent calls don't get handled the same way every time.

04

Booking by phone means a person on your team works the calendar by hand.

05

A missed-call alert tells you almost nothing about what the caller wanted.

What success needed to look like

  • Answer an inbound call at any hour and understand what the caller needs.
  • Book into your Google or Microsoft calendar.
  • Hand the caller to a person when one is needed.
  • Leave a written record of every conversation.
  • Work with your existing number instead of replacing it.
Our approach

How we delivered it.

  1. 01

    Start from the unanswered call

Designed GreetKeeper around the calls that go unanswered: after hours, while staff are with a customer, and in busy seasons.

  2. 02

End every call in an action

Gave each call one of five endings, so it books, answers, transfers, takes a message, or escalates to a person.

  3. 03

    Keep your number

Built GreetKeeper to sit behind call forwarding, so you keep your existing number and the phone system you already use.

  4. 04

    Make the handoff a rule

When a caller asks for a person, or the AI is unsure, the call goes to your team.

  5. 05

    Run it ourselves

Hashlogics operates GreetKeeper as a live product, so the team that built it also keeps it running.

The solution

What we built.

GreetKeeper sits between the caller and your business. You forward your existing number to it, and it answers every inbound call, at any hour. It answers the questions you train it on and reads the name, number and time back before it books into your Google or Microsoft calendar. When a caller asks for a person, it transfers to your team.

Every call arrives as a transcript and a short summary, so you know what was asked and what happened next. Teams with several locations get one account with per-number settings: each number can have its own hours, greeting and calendar. A webhook, signed with HMAC-SHA256 so your systems can verify it, reports each completed call, booking, message and transfer.

One call through GreetKeeperLive
  1. ForwardYour existing number forwards the call.
  2. AnswerGreetKeeper picks up and hears the request.
  3. ActIt books, answers, transfers, or takes a message.
  4. RecordA transcript and short summary are written.
  5. NotifyA signed webhook goes to the URL you set.

When a caller needs a person, the call goes to your team instead of staying with the AI.

Calls that arrive together are answered at the same time, so nobody queues.
Booking writes straight into Google Calendar or Microsoft Outlook.
If a transfer isn't picked up, it tries a second number you nominate.
Your on-call person gets a text with the caller's details.
Robocalls and spam are screened out before the greeting.
Set closure dates, and it answers as closed on those days.
Recording is a setting you control, and so is how the AI tells callers what it is.
Point it at your website for a first draft of your hours, services and FAQs, then correct it.
How it's built

Calendars it writes to

  • Google Calendar
  • Microsoft Outlook / Microsoft 365

Webhook events

  • call.completed
  • booking.created
  • message.taken
  • transfer.made

On every call

  • Transcript
  • Short summary
  • Caller name, number and reason
  • Recording you can switch on
  • AI disclosure setting
The takeaway

GreetKeeper's AI voice is one part of the product. The value is in what a call connects to: your calendar, a transfer to the right person, and a record you can act on. One rule underneath it all: the AI handles what it knows and hands off what it doesn't.

Let’s deploy working AI into your business.

We build AI agents and automation, ship them into the tools you already run, then stay on under an agreed service level. A senior engineer reads every brief, and your call gets scheduled within 24 hours.

What happens next

  1. 01

You send a brief or book a call

    Two minutes, whichever you prefer.

  2. 02

A senior engineer replies within 24 hours

    Not a sales rep.

  3. 03

    Honest scoping, in writing

And if we’re not the right fit, we say so.

“I started Hashlogics because too many teams ship a demo, get paid, and disappear. We build to a standard we’d run ourselves — and we stay to keep it running.”
