It refines the transcript with AI, then creates ClickUp tasks and Notion docs for each department. It captures action items within minutes of a call.     Traced what happened to a meeting after Fireflies recorded it, and found the action items never made it past the transcript into ClickUp.

    Design

    Designed a two-workflow system: a real-time meeting pipeline and a daily scheduler. Dynamic ClickUp-structure reading means department routing needs no hardcoding.

    Build

    Built the n8n pipeline connecting Fireflies, OpenAI, ClickUp, and Notion. Short 3-5 day cycles ran with live stakeholder feedback.

    Launch

    Ran dry runs on past transcripts. Staged the rollout department by department before switching it on in production.

We built a two-workflow n8n system. The first runs in real time: Fireflies transcripts flow into OpenAI for refinement, then into ClickUp tasks and Notion docs. It reads the live ClickUp structure instead of hardcoding it. Action items route to the correct department on their own, within minutes of the call. The second workflow runs on a daily schedule. It builds the CEO brief and fires deadline reminders. Error handling and execution logs keep the pipeline reliable.
