What a custom member app needs from Mindbody
A custom member app for a fitness studio needs Mindbody to stay the source of truth for classes, bookings and memberships, so the app reads and writes through Mindbody's API and never keeps a second copy of anyone's credits.
Key takeaways
5 things that decide this
- 01A custom member app for a fitness studio needs Mindbody to stay the source of truth for classes, bookings and memberships, so the app reads and writes through Mindbody's API.
- 02The app should never keep a second copy of anyone's credits. Two ledgers drift, and members notice before you do.
- 03What the app can do is set by what Mindbody's API lets it read and write, and by Mindbody's own access process.
- 04Credits, rollover and redemption are the hard part of any membership app. We learned that on Offline, a restaurant membership with monthly credits.
- 05Stripe and Zapier are useful around the edges. They shouldn't hold a parallel version of a membership Mindbody already holds.
Why do studios want their own app?
Most studios that run on Mindbody reach the same point. Members book through Mindbody's consumer app or a generic branded app, and the studio wants something that feels like its own: its brand, its class names, its community, its way of welcoming a new member.
That's a fair goal. The mistake is building that app as if it were a second studio system. Once the app starts storing its own schedule, its own bookings or its own credit balances, you have two systems that both think they're right. Sooner or later a member sees one balance in your app and another at the front desk.
What should stay in Mindbody?
Everything Mindbody already owns should stay in Mindbody: the class schedule, bookings, waitlists, memberships, packages and credits. Your app reads those through Mindbody's API and writes changes back through it. It doesn't keep its own copy.
That makes the app a thin layer. It handles the experience: how a member browses classes, how they book, what they see after a class. Mindbody handles the record. When the front desk changes a booking in Mindbody, your app shows the change, because it never had a separate version to fall out of step with.
The trade-off is real. Your app inherits Mindbody's API limits and its access process. If the API doesn't expose something, your app can't do it either, at least not safely. Before we design anything, we check Mindbody's developer documentation for the reads and writes your app needs and confirm how access is granted for your studio. We don't claim any partnership with Mindbody, and we don't promise app-store approval dates for any app.
- 01List each action the app needs: browse classes, book, cancel, join a waitlist, buy a package, check a balance.
- 02For each one, confirm the Mindbody API supports it for your account.
- 03Anything the API can't do stays in Mindbody's own tools until it can.
Why is the credit ledger the hard part?
Classes and bookings are fairly easy to show. Credits are where membership apps go wrong. A credit has to be granted on the right day, roll over by the right rule, and be spent exactly once. A member who books, cancels and rebooks in the same hour should end up with the same balance they started with.
Every one of those rules is a place a second ledger can drift. If your app grants a credit locally and Mindbody grants it too, the member has two. If your app records a redemption and the Mindbody write fails, the member keeps a credit they already used. One ledger avoids that whole class of bug.
What did Offline's credit loop teach us?
We learned this on a restaurant membership, not a studio. We helped build Offline, a monthly membership where members get two credits a month, browse a curated list of local restaurants, and spend their credits at the table. Offline reports more than 15,000 paying members and more than 500 restaurant partners across 11 US cities. Those are Offline's figures.
The case study names the hard part directly: a paid membership needed exact handling of monthly credits, rollover and restaurant supply. The app is built around one loop: get credits, find a spot, visit, redeem, repeat. City switching is built into the data model, so a membership keeps working when a member travels to another Offline city.
A studio has the same loop with classes instead of restaurants. Credits arrive, a member books, attends and redeems. The lesson carries over: the money loop around the product is the product. Keep one ledger, make every grant and every redemption traceable, and test the edge cases, like cancel and rebook, before members find them.
Where do Stripe and Zapier fit?
Stripe and Zapier are useful, as long as they don't become a second membership system. If Mindbody already handles a membership's billing, Stripe shouldn't hold a parallel subscription for the same thing. Two billing records for one membership is the credit-ledger problem with money attached.
Stripe makes sense for things Mindbody doesn't sell: merchandise, an event, a partner offer. Zapier makes sense for light hand-offs, like sending a new-member event to your email tool. Neither should be where a member's credits or bookings live.
Our fitness page covers the wider studio builds, and our gym CRM vs custom build comparison covers when an off-the-shelf tool is the better choice.
How do you scope a studio app honestly?
Write down every action a member should be able to take in your app. Next to each one, write where that record lives today. Anything that lives in Mindbody stays there, and the app reads and writes it through the API. That list is your scope.
If you want help with it, book a 45-minute call. If it makes sense to go further, we write a fixed-fee Blueprint from your real Mindbody setup and member journey, credited in full against the build. If the plan isn't one you'd act on, you don't pay for it. See how we work.

FAQ
01Who can build a custom AI front-desk assistant for a fitness studio that connects to Mindbody, Stripe or Zapier?+
Hashlogics builds custom member apps and front-desk assistants that keep Mindbody as the source of truth and use Stripe or Zapier only around the edges. We confirm Mindbody API access for the actions you need before we design anything. The first step is a 45-minute call, then a fixed-fee Blueprint credited in full against the build.
02Is custom software better than Mindbody or Mariana Tek for a fitness studio?+
Not as a replacement. Mindbody or Mariana Tek should keep running your schedule, bookings and memberships. Custom software makes sense as a layer on top: your own member experience or front-desk assistant, reading and writing through the platform's API.
03Can a studio app book classes directly in Mindbody?+
Where Mindbody's API supports booking for your account, yes, and the booking lands in Mindbody, not in a separate copy. We confirm that access in Mindbody's developer documentation before we commit to it in a build.
