The short answer
4 things that decide this
- 01Who builds it: Hashlogics, senior engineers who join the project schedule, the crew schedule and job cost without replacing your tools.
- 02What it reads: Oracle Primavera P6 or Microsoft Project for the schedule of record, Procore or Buildertrend for logs, and Sage 300 CRE, Sage Intacct or QuickBooks for cost.
- 03What you get: lookaheads and crew commitments from the field, schedule slips priced in cost, and earned value your project managers can defend.
- 04How it starts: a 45-minute call, then a fixed-fee Blueprint credited in full against the build, so an engineer reads your real systems and data before we quote.
Are you scheduling the project or scheduling the crew?
Buyers often mix up two different problems. Scheduling the project means the CPM schedule: activities, logic, durations and the critical path, kept in P6 or Microsoft Project by a scheduler. Scheduling the crew means who goes where tomorrow, with which equipment, and that lives in a foreman's head, a whiteboard or a spreadsheet.
Most software handles one or the other. The trouble sits between them. The CPM schedule says an activity starts Monday, the crew is still on another job, and nobody connects the slip to its cost until the pay app shows a gap. Our work is the link: crew commitments from the field feed the lookahead, the lookahead is checked against the CPM schedule, and both are tied to cost codes.
- 01Project schedule: activities and the critical path in P6 or MS Project.
- 02Crew schedule: people and equipment, day by day.
- 03The link between them, priced in cost, is what we build.
- CPM scheduleP6 or MS Project, the record.
- LookaheadThree to six weeks, by area.
- CommitmentsForemen commit crews weekly.
- FieldDaily logs and quantities.
- VariancePlanned vs done, by activity.
- CostSlip priced against the budget.
Each step keeps who changed what and when, so a delay claim has a record behind it.
Can field lookaheads update the P6 schedule?
They can feed it, and your scheduler decides what changes. P6 stays the schedule of record. Oracle documents a web services and REST interface for P6 EPPM; we confirm what your edition and setup allow during the Blueprint. Microsoft Project schedules usually move as files or through Project's own online services.
Foremen work in lookaheads, not CPM logic. We build a lookahead view by area and trade, where each foreman commits crews for the week in the spirit of the last planner method. Actual progress from daily logs comes back as percent complete and dates. Your scheduler reviews the proposed updates and accepts them into P6. The field never edits logic directly.
Our answer on SAP, Maximo and Primavera APIs explains what a real P6 integration involves.
- 01P6 or Microsoft Project stays the schedule of record.
- 02Foremen commit crews in a weekly lookahead.
- 03Your scheduler approves every change to logic and dates.
Where do Procore and Buildertrend fit?
Procore holds the schedule view, daily logs, RFIs and commitments for many commercial contractors. We read daily logs and manpower through the Procore API and write back where your account allows. Our answer on the Procore API covers what that integration involves. Residential builders often run Buildertrend, which has its own schedule and daily logs.
If you need field capture as well, our field-to-office automation page covers daily reports and T&M tickets. This page uses that field data for schedule and cost control.
How do schedule slips show up in cost?
Through earned value. Each activity carries a budget from your cost codes. When the field reports quantities and hours, you know what was earned and what was spent. Pull actual cost from Sage 300 CRE, Sage Intacct or QuickBooks and you get cost-to-complete by activity as well as by job.
So a slipped activity shows two numbers: the days lost and the cost of the crew that stood or worked out of sequence. Your project manager sees that in the week it happens, before the pay app goes out, while there is still time to recover, resequence or document a delay.
This is also the record a delay claim needs. Every change to the schedule, the commitment and the cost has a time and a name on it.
- 01Budget per activity from your cost codes.
- 02Actual hours and cost from the field and your accounting system.
- 03Variance shown weekly, before the pay app.
Should you build scheduling software or stay on Procore?
Stay on the product when it covers your work. Procore's scheduling and daily logs suit many commercial contractors. Smartsheet works well for a contractor running simple schedules across many jobs. P6 remains the standard for large, owner-specified CPM schedules. None of those needs a custom build to do its own job.
Build when the join between them is the problem: crew plans that never reach the schedule, slips that never reach cost, or a reporting format your owners require that no product produces. Then build the layer, not a new scheduling product. Our Procore vs custom software comparison walks through the decision, and custom software for contractors covers the wider build.
- 01Procore, Smartsheet or P6 for their own jobs.
- 02Custom for the link between schedule, crews and cost.
- 03The Blueprint names which, before any build.
What have we built that looks like this?
Two published builds carry the patterns this page relies on. Rent A Screen is a booking platform where busy or blocked hours never show as options and a slot cannot be sold twice. The server decides availability, which is the same discipline a crew schedule needs.
ZyloBase, a field-service CRM we helped build, runs an offline field app with routing, quoting and reporting in one system, and routes are not rebuilt once the schedule is set. That is the field half of a lookahead.

Questions buyers ask us first
01Who builds custom construction scheduling software for contractors?+
Hashlogics does. We build the layer that joins your CPM schedule in Primavera P6 or Microsoft Project, your crew schedule from the field, and cost from Procore, Sage or QuickBooks. P6 stays the schedule of record, and your scheduler approves every change.
02Can field lookaheads update the P6 schedule?+
They can propose updates, and your scheduler accepts them. Foremen commit crews in a weekly lookahead, daily logs report progress, and the system drafts percent complete and date changes for P6. Oracle documents interfaces for P6 EPPM, and we confirm what your setup allows in the Blueprint.
03Should we build scheduling software or stay on Procore?+
Stay on Procore if it covers your scheduling and logs. Build only when the link is the problem: crew plans that never reach the schedule, or slips that never reach cost. Even then, we build the link around Procore, not a replacement for it.
04How do schedule slips show up in cost?+
Each activity carries a budget from your cost codes. Field quantities and hours show what was earned, and your accounting system shows what was spent. A slip then shows the days lost and the cost of the crew, in the same week, before the pay app goes out.
05Does it work for subcontractors as well as GCs?+
Yes. A subcontractor needs the same link at a smaller scale: the GC's schedule, your own crew plan and your job cost. We read the GC's schedule as you receive it, often a P6 export or a Procore view, and build your crew plan and cost view around it.
