The best custom CRM development companies, ranked by who each one actually fits
We checked seven US-headquartered firms that build CRMs from scratch against their own sites: experience, named clients, and how each one starts an engagement. Most CRM problems are a data-model problem before they are a vendor problem.
The short answer
If your team needs a CRM shaped around a workflow no packaged tool models correctly, Ascendix and Intellectsoft are the strongest picks with a track record you can check.
Ascendix has run CRM-specific work since 1996, out of Dallas. Intellectsoft names enterprise clients you can check yourself. If you are smaller and want a US-based team plus full source-code ownership, Saritasa is the sharper pick. Read the entries below before you decide. Your workflow sets the right answer, not this list's order.
Hashlogics is one of the firms in this category. We say so plainly, and we have not put ourselves at the top.
How this ranking was made
Verified
We shortlisted US-headquartered firms with a dedicated custom CRM development page on their own site. A Salesforce or Dynamics practice that mentions CRM in passing did not qualify. Every fact below came from that firm's own website on 25 August 2026, and each one is linked. If we could not verify a number, we left it out rather than guess.
Packaged CRM products such as Salesforce, GoHighLevel or whatever pipeline tool you already run are not ranked here. They solve a different problem: renting a data model instead of building your own. You will find them in their own section below, because for a lot of buyers that is still the right call.
- Track record you can check
- Named clients or case studies published on the firm's own site, not a directory profile the firm controls.
- Built from scratch vs configured
- Whether the firm designs a CRM's data model around your workflow, or mainly customises Salesforce and Dynamics.
- How the engagement starts
- Discovery process, pricing model, and whether a working version exists before the full build starts.
- Headquarters and team location
- US headquarters, verified on the firm's own site, since that decides time zone overlap and legal jurisdiction for the contract.

The ranking
Ordered by how many buyers each firm fits, not by size.
Thirty years of CRM-specific work, out of Dallas
Ascendix has focused on CRM, not custom software in general, since 1996, out of Dallas. It has helped more than 200 companies build or implement a CRM system. That narrow focus is rare on this list. Ascendix even built its own CRM products for commercial real estate, rather than only building for clients.
You get a firm that has already solved the edge cases a generalist would hit for the first time on your project. Watch one thing: some of its published work leans toward Salesforce and Dynamics customisation rather than a build from scratch. Confirm which one your project needs before the first call.
Best for
- Buyers who want a firm whose entire practice is CRM, not custom software in general
- Commercial real estate or similar verticals where Ascendix has built its own products
Not for
- Projects that need a large bench of engineers outside CRM specifically
- Buyers who have already ruled out platform customisation and want a build from a blank page only
- Headquarters
- Dallas, TX
- CRM-specific since
- 1996
Longest enterprise client list of the group
Intellectsoft has run custom CRM projects since 2007, out of New York. Its own site names enterprise clients you can check yourself: Eurostar, Harley-Davidson, Ernst & Young, Guinness and Jaguar Land Rover among them. A list like that is hard to fake, and it is why Intellectsoft ranks second here rather than a newer firm with a cleaner pitch.
Team size and certifications aren't published on the site. Ask for both directly before you sign. A firm with named Fortune 500 clients has nothing to lose by answering.
Best for
- Enterprise buyers who want a firm with a checkable list of large-company clients
- A CRM that has to sit inside an existing enterprise IT estate
Not for
- Buyers who need certifications listed up front rather than requested
- A small team wanting a fast, cheap first version to test
- Headquarters
- New York, NY
- Founded
- 2007
Full source-code ownership, US team, 1,769 projects
Saritasa states 20 years in business and 1,769 completed projects. Its stated policy is full source-code ownership on delivery: you own what gets built, not a licence to run it. Three named CRM-adjacent case studies stand out: an elevator-inspection scheduler, a medical practice platform, and a manufacturing ERP. Each shows the same data-modelling skill a CRM needs, even where the project was not labelled CRM.
You get a team based in Irvine, California, with a second US office in Tampa. Every stage of the build stays inside US business hours. It ranks third rather than higher because its case studies naming CRM specifically are thinner than the two firms above it.
Best for
- Buyers who want a stated, explicit source-code ownership policy
- Projects that want every stage handled on US business hours
Not for
- Buyers who need CRM-specific case studies rather than adjacent operational-software examples
- Enterprise programmes needing thousands of available engineers
- Headquarters
- Irvine, CA
- Track record
- 1,769 projects, 20 years
AI-native builds for teams whose workflow is the product
Hashlogics is one of the firms in this category. We say so plainly, and we have not put ourselves at the top. We were founded in 2017 and are based in Lahore, with clients across the US, UK and Australia. We build custom software and AI systems for teams like yours, agents, retrieval and automation built in rather than bolted on afterward.
WAIQ is the closest published example: a multi-tenant SaaS platform that standardises SOPs, workflows and training across every site, department and role. That is the same data-modelling problem a custom CRM solves for a sales or service team. We hold a 4.8 rating on Clutch across 22 reviews and publish 22 case studies. You can check the pattern of our work rather than take a claim on faith.
We rank ourselves fourth, below every US-headquartered firm on this list, by design. This page is about who else you should consider, and the firms above have longer or larger, independently named US client bases you can check. Weigh that honestly if headquarters and track record matter to you.
Best for
- A CRM or ops system where AI agents, retrieval or automation are part of the core workflow, not an add-on
- Teams who want the system maintained after launch rather than handed off cold
Not for
- Buyers who require a US-headquartered vendor as a hard requirement
- Programmes that need hundreds of engineers available at once
- Headquarters
- Lahore, Pakistan
- Our disclosure
- Hashlogics is one of these firms
Longest-running CRM practice with published ISO certification
ScienceSoft is headquartered in McKinney, Texas. It has run CRM projects since 2008, inside a company founded in 1993. It is the only firm on this list publishing ISO 9001 and ISO 27001 certification alongside its CRM page. That matters if your CRM will hold data a compliance team will eventually ask about.
It publishes a real cost range on its own site, scoped by project size and user count. That is more honest than a site that hides pricing behind a form. Scale is the trade-off: a firm with thousands of completed projects won't treat your small CRM build as its top priority.
Best for
- Regulated industries that need ISO-certified security and quality processes on paper
- Buyers who want a published price range before the first call
Not for
- A small project that needs to be someone's top priority
- Buyers who want a boutique relationship over a process-driven one
- Headquarters
- McKinney, TX
- Certifications
- ISO 9001, ISO 27001, ISO/IEC 27701
Broadest CRM platform coverage, including Salesforce and Odoo
Itransition is headquartered in the Denver area. It is the largest firm on this list, founded in 1998 with more than 3,000 engineers. Its CRM page states over 100 completed CRM projects and more than ten years focused on the category specifically. In-house Salesforce and CRM centres of excellence let it move between a fully custom build and a heavily customised Salesforce or Odoo instance.
That flexibility is also the thing to watch. A firm this size will not automatically put its most senior engineers on a smaller project. Ask who is named in the contract, rather than assuming the pitch team is the delivery team.
Best for
- A buyer who has not decided between a fully custom build and heavy Salesforce customisation
- Programmes large enough to need thousands of available engineers
Not for
- A small project that needs senior attention from day one
- Buyers who want a boutique relationship
- Headquarters
- Denver, CO
- Company size
- 3,000+ engineers
Two decades in CRM, healthcare and fintech-heavy portfolio
Belitsoft states 20 years of CRM-specific experience, out of a company founded in 2004 and headquartered in Alexandria, Virginia, with 250-plus developers. Two published case studies lean toward healthcare and fintech: a clinical-trial recruitment CRM, and an insurance CRM built with a named integration partner.
That specialism is a reason to shortlist Belitsoft if your CRM sits next to regulated health or financial data. It is a reason to look elsewhere if it does not. ISO 9001:2008 certification is published; a more recent security standard isn't.
Best for
- CRMs for healthcare or financial-services workflows
- Buyers who want a firm with two decades focused specifically on CRM
Not for
- Buyers outside healthcare or fintech looking for closer industry-matched proof
- Anyone requiring current ISO 27001 rather than the older 9001:2008 standard
- Headquarters
- Alexandria, VA
- Team size
- 250+ developers

Chetu ↗
Certified Salesforce partner with broad CRM platform coverage
Chetu is headquartered in Sunrise, Florida, and was founded in 2000. Its CRM page states expertise across Salesforce, Microsoft Dynamics, SugarCRM, Zoho and GoHighLevel alongside custom builds, plus certified Salesforce partner status. That breadth suits you if you have not yet decided between a build from scratch and customising an existing platform.
It ranks last here for one reason. No specific clients are named on its CRM page, and no cost range is published, and every firm above it discloses both. That does not make it a weaker firm. You will just have less to check before you get on a call.
Best for
- Buyers still deciding between a custom build and Salesforce or Dynamics customisation
- Projects that need certified Salesforce partner status on the contract
Not for
- Buyers who screen firms by named case studies before ever getting on a call
- Anyone who needs a stated price range up front
- Headquarters
- Sunrise, FL
- Founded
- 2000
- Data modelShaped around your workflow, or bent to fit a template.
- OwnershipYour source code, or a licence you rent forever.
- MaintenanceWho fixes it in month nine, named in the contract.
- ExitWhat happens to your data if you switch vendors.
A firm that hesitates on any of these has told you something useful.
When none of these is the answer
A custom build is not the default answer. If your sales process looks like most sales processes, a packaged CRM gets you running in a week, and someone else carries the maintenance forever.
Salesforce is the strongest packaged pick if you run a sales org that needs a mature ecosystem. It has thousands of integrations, a large hiring pool of admins, and a data model flexible enough for most B2B pipelines. You accept its limits with it: licence cost that scales per seat, and configuration that becomes its own specialism the deeper you customise it.
GoHighLevel is the strongest packaged pick if you run an agency or a service business selling to other small businesses. It is built around funnels, automations and white-labelling out of the box. It is opinionated about how a pipeline should work. A workflow that does not match its model gets bent to fit, rather than modelled correctly.
A custom build keeps the strengths of the packaged tools and drops those limits. You get a data model shaped around how your team actually works, written into Salesforce, GoHighLevel, a spreadsheet, or whatever you run today. That's the trade-off, stated plainly: it is built for you, not switched on this afternoon.
- 01If your pipeline maps cleanly to lead, opportunity, deal, close, a packaged CRM is faster and cheaper than building one.
- 02If the CRM has to enforce a workflow no packaged tool models, roles, approvals, multi-tenant SOPs, that mismatch is the signal to build.
- 03If you are not sure yet, a two-week diagnostic on your actual workflow answers it before either purchase or a build starts.
Some of the systems we have shipped
Not sure which of these fits your workflow?
Describe your pipeline and where it breaks in whatever CRM you run today. We will tell you honestly whether a custom build is the right call, including when the answer is to stay where you are. Scoping costs nothing.
01Why did you leave out Salesforce, HubSpot and GoHighLevel?+
Because they are products you buy and configure, not firms that build a CRM for you. This page ranks development companies that design a custom data model from scratch, whatever platform or spreadsheet you run today. Where a packaged CRM is the better call, we say so directly in the section above, rather than pretending every buyer needs a custom build.
02Custom CRM vs Salesforce: which one should we actually pick?+
Match your process to the tool first. If your sales or service work follows a standard pipeline, Salesforce or a similar packaged CRM gets you running faster and cheaper. If your workflow has rules, roles or approval steps a packaged data model cannot represent, a custom build removes that mismatch for good. The full comparison, with the signals that point each way, is on our custom CRM vs Salesforce page.
03How much does a custom CRM cost to build?+
ScienceSoft is the only firm here publishing a cost range on its own site, scoped by project size and user count. Every firm scopes price after a discovery phase rather than quoting blind. The cost depends on how many workflows and integrations the CRM has to model, not on a fixed package tier.
04Why does headquarters location matter for a CRM build?+
It sets your time-zone overlap for daily standups and reviews. It also decides which country's courts and data-protection law govern the contract if something goes wrong. Every firm ranked first on this page is headquartered in the United States for that reason. Weigh it as one factor among several, not as a proxy for engineering quality on its own.
05Is a smaller firm riskier than a large one like Itransition?+
Not automatically. A larger firm has more bench depth if someone leaves. A smaller firm is more likely to put its most senior people on your project, because your project is a bigger share of its business. Ask any firm here, regardless of size, who specifically is assigned and for how long.
