How many desks does screening consume?
Four inputs from your agency. A monthly hours figure, restated as full-time desks. No email required.
What you get
4 things that decide this
- 01A monthly hours figure for first-pass resume screening across your desks.
- 02The same figure as full-time-desk equivalents, which is how owners weigh it.
- 03It will not rank your candidates. It shows what the ranking work costs today.
- 04If screening is already light, the number says so, and your bottleneck is elsewhere.
How it works
The Recruiter Admin Hours Calculator takes four inputs: recruiters, requisitions per month, resumes screened per requisition, and minutes per resume. The minutes default anchors to a published range: MindStudio reports five to ten minutes per manual resume review. Your own pace replaces it.
The output is one sentence from your inputs: a firm your size spends roughly this many hours a month on first-pass screening, which equals this many full-time desks. Desks doing screening are desks not talking to candidates or clients.
The calculator counts screening only. Interview scheduling, ATS updates and redeployment chasing come on top, and the audit call covers those. The screening number alone usually settles the argument.
- PostApplications flood in
- ScreenMinutes per resume, times hundreds
- ShortlistA handful survive
- SubmitThe billable part begins
The billable work starts after the hours this calculator counts.

Questions, answered
01Is AI resume screening safe to rely on?+
Only with a human decision at the end and an audit trail underneath. Screening agents should rank and explain, not reject. That design keeps both quality and compliance defensible.
02Where does the minutes-per-resume default come from?+
From MindStudio's published five-to-ten-minute range for manual review. It is a starting point. Time two of your recruiters on ten resumes and use that instead.
03Is anything stored?+
No. No email, no saved data.
