Automating dispatch is not one feature. It is a chain: intake, triage, a capacity check, a booking, a confirmation, and a write-back to the system of record. Any step can fail on its own, so each one needs its own rule.

Intake identifies the caller, the address and the equipment. Triage sorts the call by urgency using rules your dispatcher wrote, not a model's guess. The capacity check looks at which technicians are actually free, licensed for the job and near enough to make the drive. Only then does the agent offer a slot.

Confirmation goes to the customer by voice and text. Write-back creates the job in ServiceTitan, Housecall Pro, Jobber or whatever you run with the urgency tag attached. The technician arriving at the door already knows what they are walking into.

Each station is a checkpoint, not a formality. A call can exit the automated flow at any of the first three and land with a person.

    The agent answers on the first ring, confirms the caller's name and service address, and asks what the equipment is doing. No hold music, no voicemail prompt.

The priority rule

No-heat and no-cool outrank everything else

A no-heat call in a cold snap and a no-cool call in a heat wave put a household at real risk. They jump the queue ahead of maintenance calls, thermostat questions and warranty follow-ups. That order has to be written down before the agent goes live, because the agent will not invent it on its own.

Households with an infant, an elderly resident or a documented medical need move further up that same list. That detail comes from your dispatcher too, not from the agent guessing at tone of voice.

Below that line, the agent makes ordinary trade-offs: the next open slot, technician drive time, a membership customer's priority window. Those calls are where automation earns its keep. There is no wrong answer to get badly wrong.

When the rules change

Surge weeks need their own priority order

A heat advisory or a cold snap can multiply call volume inside a few hours. The ordinary rules bend under that load. No-cool calls get pulled further ahead of routine maintenance. Callback windows stretch and get communicated honestly. The agent leans harder on the capacity check, so it never overbooks technicians who are already stacked.

Shoulder-season weeks run the opposite way. Volume is lower, so there is more room to schedule maintenance agreements and membership visits the agent would otherwise defer. Surge rules and shoulder-season rules both get written down ahead of time. Writing them mid-surge is how the priority order breaks.
