Owner and resident portals that do what your PMS's won't
Most PMS portals show a balance and a payment button, then stop. Yours can hold the owner statement with the month explained, the work-order history with photos, the lease and the renewal offer, and a message thread that writes back to the record. We build against your own account, at whatever depth it exposes. That depth gets confirmed on the audit, not promised on a call.
Dashboards across the systems you already run
Occupancy, delinquency, cost per door, days in escrow and lead-source return, pulled from AppFolio, Buildium, Yardi, Rent Manager, your accounting and your CRM, or whatever you run. Read-only everywhere, so nothing we build can change a ledger. Custom where no report exists, which for cost per door is nearly always.
HOA and association management as a section of the business
Manage associations alongside rentals and that side has its own shape. Dues and assessments. Violations with a notice history. Architectural review requests moving through a committee, board packets, and a board that wants an audit trail for every charge. We build it as a module against the platform you run. Notices and decisions stay with your manager and the board.
The operating layer, when the portfolio outgrew the product
TomoDomo runs coliving across Swiss cities. We built its management platform because standard property software believes an apartment is one rentable thing. When your rentable object is a room, or your portfolio spans entities and countries, the layer stops being a layer and becomes the system. It's the largest build on this page and the rarest, and we'll tell you if you don't need it.
AppFolio, Buildium, Yardi and Rent Manager are good products, or whatever you run is. Here's the line between configuring one and building on it.
Every one of those platforms ships an owner portal, a resident portal and a report pack. For plenty of managers that ends the question. Are your owners content with the statement your PMS generates? Do your residents only ever want a balance and a payment button? Are the reports you need reports your vendor already wrote? Then configure what you have and spend the money elsewhere. We say that on audit calls more often than you'd expect.
You outgrow the packaged version at three points, and each one is easy to recognise. First, when a portal has to show something your PMS doesn't model: a room rather than a unit, an association's violation history, an owner's holdings across three entities. Second, when the number you manage the business by lives in two systems at once, because no vendor's report can join their data to somebody else's. Third, when a real workflow has to move through several hands with a record of who decided what, like an ARC request, a turn, or a renewal approval chain. Those are build questions. Building them badly is expensive, so we scope them off your real data rather than off a feature list.

Property is the sector where an algorithm can get you sued: screening models, rent-setting tools and automated texting all sit under fair-housing, consumer-protection and consent rules that are tightening, and the tenant or the regulator won't care that the vendor said it was fine. So every build starts with a one-page map of what the software decides, what it only proposes, and where a person signs off.
What follows is simple to state, and we put it in writing. Screening and pricing decisions stay with a person and a documented policy; the software gathers and presents. Consent is captured before anyone is texted. Wire instructions are never relayed by software. Trust accounting stays in your PMS; we read balances, we don't move money. And every automated touch is logged so you can show what happened and why.

Before you book
01Do we have to replace our property management software to get a custom portal?+
No, and replacing it is usually the wrong answer. AppFolio, Buildium, Yardi or whatever you run stays the system of record, and your staff keep the screens they know. We build the portal, the dashboard or the module beside it and connect the two. It reads from your account at the depth that account exposes, and writes back where it allows. We only raise replacement when a platform genuinely can't model your business, and then we show you which part of your operation it can't hold.
02What does a custom tenant or owner portal cost to build?+
Pricing is fixed after the diagnostic, never before. An honest number depends on what your account exposes and how much of your workflow is real branching logic. Scoping calls cost nothing. Where we have to go inside an existing codebase to answer you properly, a paid two-week diagnostic ends in a fixed price. A figure quoted before any of that is a guess with a decimal point on it.
03Can you build HOA or association management software?+
Yes, as a section of your business rather than a separate product. Dues and assessments, violations with the notice history behind them, architectural review requests routed through the committee, board packets, and the reporting a board asks for. Decisions stay with your manager and the board. Notices are sent by a person, and every charge carries an audit trail. Associations and rentals share owners, properties and money, so we build them to share data instead of sitting in separate tools.
04Will the dashboard write anything back into our accounting or trust account?+
No. Reporting is read-only against every system it touches, and that's a design rule rather than a setting somebody could change later. Trust accounting stays in your PMS. Payments and owner draws are posted by your staff, and nothing we build can move money. So a wrong filter produces a wrong screen, which you can fix, instead of a wrong ledger entry, which you can't.
05How deep does an integration with our PMS actually go?+
To the depth your account exposes, and we confirm that during the audit instead of promising it beforehand. AppFolio, Buildium, Yardi, Rent Manager or whatever you run each gate access differently. Some gate by plan tier, some through a partner programme you sponsor yourself, and the answer for your account isn't the answer on a vendor's marketing page. Where the API stops, we build a reviewed queue your staff accept with one click rather than re-type. We also design the layer so a second platform is a new adapter, not a second rebuild.
06We're a brokerage, not a property manager. Do you build for us?+
Yes. Your version of this page is the broker dashboard over Follow Up Boss, BoldTrail, Lofty, dotloop, SkySlope, your back office or whatever you run. It holds production, pending volume, days in escrow, lead-source return and each agent's own numbers. Add the client portal and the agent onboarding portal to that. 07How long does a build like this take, and who maintains it?+
We won't put a range on it before the diagnostic, because the honest driver is your data and your access model rather than a template. What we commit to is how it runs afterwards. You get a named engineer, monitoring, documentation your own team can read, and the first two months of maintenance included. A portal nobody maintains breaks the first time your PMS ships an API change, and that's the failure we're built to avoid.
